The education system has been working to address the problems that have arisen in classroom and examination scheduling. Developing timetables for lectures, tests and class time has proved to be a challenge for educational planners. Specific problems cited have been inconsistency in requirements, the quality of the assigned criteria for work, and the time consuming routine work, such as paperwork requirements, checking and cross checking for mistakes and contradictions and report submissions. These issues have created a market for the promotion of school timetabling software.

Many educators and administrators have found the resources needed for the proper scheduling processes are simply not available. According to scholarly studies by the International Renaissance Foundation, the preparation for a class timetable for secondary school usually takes up to two weeks. Mistakes, outstanding problems and other issues in the course of the teaching term may also alter the school timetable, and cause unforeseen changes to the timing of certain lessons, lectures, assignments and tests. The same study indicated that preparing a timetable manually for a university could take up to a full month. The same possibilities exist for needing to adjust the initial schedule as the university semester or school term progresses.

School districts and university administrations have embraced the idea of automating the scheduling process, and most school systems have been open to the idea of timetabling software. Such automation comes with challenges of its own, mostly with the design of programs, and the ability to adapt the existing computer systems of schools to the software incorporated for scheduling purposes. Many of the early studies conducted to measure and evaluate these systems have revealed that using school timetabling software is most successful when utilized in the school or university where it was conceptualized, developed and tested. Those schools that have the funding and the expertise to develop such software are proving more able to absorb this change than schools that need to purchase software elsewhere and then integrate it into their own IT systems. There can be competing issues and technical adaptability problems that will take extra time to work through.

Each institution has its own set of needs for scheduling and mapping out student applications. For that reason, finding school timetabling software that is universal has been a challenge. The common scheduling points are easily addressed, but the nuances that come with each level of education, as well as each school will require detailed attention to development and implementation.

Schools and universities that may be considering the use of school timetabling software should be attentive to the needs of the students, teachers and administrative personnel at the school. The software that is adopted should be user friendly, flexible enough to meet specific needs within the school, accurate, and easy to troubleshoot. A user should be able to input specific date, including availability, time requirements, desired results and deadlines. The software should be able to calculate the time required for specific activities, whether lesson plans, lectures, group discussions and student projects, tests and examinations, and grading periods. Using all of the data that the user inputs, the software should then be able to calculate and schedule. This should be a quick and neat process that takes the burden off the educator or administrator, and leaves it with the automation. Finally, good software will allow an easy exporting of the data and results, by printing, sending it to a chart or Excel spreadsheet, or emailing it to the necessary recipients.

The benefits of school timetabling software are numerous, especially when it comes to meeting the scheduling challenges that currently exist. Finding the right software can also be a challenge. In the end, automation will be well worth the search.
